As Capital Law’s receptionist you will be the first point of contact for our people, clients, and guests. It’s a vital role in maintaining our excellent office experience, supporting our Office Co-ordinator, Office Manager, Facilities Manager and the wider business day to day.

The role includes but is not limited to:

  • Being the first point of contact for clients/ staff/ guests – meet/greet, providing refreshments
  • Managing the incoming and outgoing post
  • Working closely with the office Co-ordinator to ensure an excellent staff and client experience
  • Management of switch board
  • Management of reception email address and dealing with queries as they come in
  • Assisting the London Office Coordinator with booking staff travel
  • Ordering of stationary
  • Working with the Office Co-ordinator, cleaners and chef on what stock we need weekly and placing orders.
  • Ad hoc administration support on site – printing, copying files, sharing internal documents etc
  • Assisting the Facilities and Office Manager with any ad hoc projects and tasks
  • Arranging and sourcing couriers
  • Organise and dealing with archive requests
  • Cleaning coffee machine
  • Management of Cegin area – reserving and setting tables, stock check (teas, water etc)
  • Organising milk orders
  • Arranging dry cleaning collections

You will ideally need the following:

  • Receptionist or PA experience
  • Commitment to providing excellent client service
  • Excellent IT skills to include Microsoft Word, Excel and Outlook
  • Excellent organisational skills, attention to detail, ability to multi-task, prioritise a high-volume workload and work to deadlines
  • Ability to work well under pressure, adapt to changing requirements and see opportunities for improvement
  • Flexible ‘can do’ approach with the ability to work proactively, use own initiative and offer solutions
  • Team-focus with a flexible and collaborative approach to working with others, but also able to work alone.
  • Confidence to communicate with all levels in order to manage expectations and maintain effective working relationships.

It would also be beneficial to have a full clean driving license, although this isn’t a requirement.
